Privacy policy
This policy explains what personal information Brightmore Group collects, why we collect it, how long we keep it and your rights. We keep it to what we need, and we never sell it.
1. Who we are
Brightmore Group Ltd is the "controller" of your personal information, which means we decide how it is used. We are registered in England and Wales, company number 17530117, registered office 8 Acres Brook Drive, Hollingworth, SK14 8BF.
For anything about your personal information, email info@brightmoregroup.co.uk.
2. What we collect
- When you contact us through our website form, by email or by WhatsApp: your name, email address, phone number, the service you're interested in, your message and, if you ask for a call, your preferred day and time.
- When you become a client: your business name and address, contact details, what you have bought, invoices and payments, and our messages with you.
- When we work on your systems: we may be able to see information held in them, such as your staff's names and email accounts. We only access what we need to do the work you have asked for.
- When you visit our website: our hosting provider records basic technical information, such as your IP address, browser type and the pages requested, to keep the website running and protect it from attacks.
3. Why we use it, and our legal basis
| What we do | Legal basis |
|---|---|
| Reply to your enquiry or arrange a call | Taking steps at your request before entering a contract, and our legitimate interest in answering enquiries |
| Provide the services you buy from us | Performing our contract with you |
| Send invoices and keep accounting records | Legal obligation (tax and company law) |
| Keep our website secure and working | Our legitimate interest in running a safe website |
| Show your website in our portfolio (clients only) | Our legitimate interest; you can ask us not to |
We do not send marketing emails unless you have asked us to. We do not use your information for automated decision-making or profiling.
4. Who we share it with
We only share your information with trusted services that help us run our business, and only what they need:
- Cloudflare – hosts our website, protects it from attacks and provides our visitor statistics (Cloudflare Web Analytics).
- Web3Forms – passes messages from our website's contact form to our email.
- Microsoft – our email and business systems (Microsoft 365).
- Xero – our accounting software, for invoices and payments.
- Google – provides the fonts used on our website, which means your browser contacts Google's servers when a page loads.
- WhatsApp (Meta) – if you choose to message us on WhatsApp.
- Our accountant, and authorities such as HMRC where the law requires it.
Some of these providers may process information outside the UK. Where they do, they use legal safeguards approved under UK data protection law, such as standard contractual clauses.
5. How long we keep it
- Enquiries that don't lead to work: up to 2 years, then deleted.
- Client records, invoices and payments: 6 years after the end of the financial year they relate to, as required for tax purposes.
- Information we see on your systems: we don't keep copies once the work is finished, unless you ask us to.
6. Cookies
Our website does not use advertising or tracking cookies. Our hosting provider, Cloudflare, may set strictly necessary cookies to protect the website from bots and attacks. These don't track you across other websites and don't need your consent. We use Cloudflare Web Analytics to count visits and see which pages are popular. It does not use cookies, does not track you across other websites and does not identify you personally.
7. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong
- ask us to delete your information
- ask us to limit how we use it, or object to us using it
- ask us to send your information to another organisation
To make a request, email info@brightmoregroup.co.uk. We will reply within one month. There is no charge in most cases.
8. Keeping it safe
We protect your information with strong passwords, multi-factor sign-in, encrypted connections and up-to-date security settings, and we only give access to people who need it.
9. Complaints
If you're unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
